When planning your wedding, you hire different vendors for different parts of the day. Your venue, photographer, videographer, caterer, DJ, planner, florist, and other professionals each have their own responsibilities.

But on your wedding day, all of those individual services have to come together.

Good communication between your vendors can make a big difference in how smoothly your wedding flows and, most importantly, allows you to spend less time worrying about the details and more time enjoying your celebration.

Your Wedding Timeline Involves Everyone

Many events during a wedding involve several vendors at the same time.

Before your grand entrance, your photographer and videographer need to be ready, your DJ needs to have the music prepared, and your venue or catering team may need to know when everyone will be seated.

The same is true for:

Special dances
Cake cutting
Bouquet toss
Grand exit
Other planned events

A timeline is important, but communication between everyone involved is what helps that timeline work in real life.

Sometimes the Timeline Needs to Change

Even the most carefully planned wedding can run a little ahead or behind schedule.

Dinner might take longer than expected. Photos could need a few extra minutes. A family member giving a toast may step away at the exact moment they're needed.

That's normal.

Sometimes a five or ten minute adjustment is all that's needed to keep everything flowing naturally.

Everyone Should Be Ready Before an Event Begins

For example, before announcing the cake cutting, we want to make sure the photographer and videographer are in position. Before beginning toasts, we want to make sure the catering team is ready and the people giving the toasts know what is happening.

Taking a few moments to communicate behind the scenes can prevent missed photos, confusion, or unnecessary delays.

You Shouldn't Have to Coordinate Your Vendors

Your wedding day shouldn't be spent checking with your photographer, finding someone from catering, or telling your DJ when something is ready to happen.

That's why communication between your vendors is so valuable.

When your wedding professionals communicate with each other, many of those little details can be handled without involving you at all.
